Review of PowerPM 5.62

Practice Engine Workkflow

PowerPM 5.61 PowerPM's latest release includes the ability to transfer a TrakDate task between Projects, split a WIP transaction, change non-billable time to leave time (and vice-versa), as well as several other enhancements and corrections in Bill Entry, Bill Posting, Bill Printing, Payment Entry and other modules. This will be an opportunity to review this new release as well as address specific questions as time allows.

PowerView/PowerImport: Did you know you could extract just about any client/project or contact data into a spreadsheet? You can select exactly which pieces of information you want, and specify which clients you want with great precision. That data can be used for internal reporting or merging with word to create letters, or mailing labels. You can even modify that spreadsheet, making changes to the data, and then read the revised information back into PowerPM to update your files. PowerView and PowerImport allow you to do all of this, and more. This session is devoted exclusively to these powerful utility programs, with suggestions for how they can be useful to your firm.

PowerPM CRM and Contact Management: You can have unlimited contacts stored with your PowerPM clients. Plus, you can enter a Contact one time and attach that contact to multiple PowerPM clients. For example, you can enter a banker once, and attach that contact to all of your clients who do business with that banker. These contacts need not be employees of the client - they can be other key contacts such as the banker above, or attorneys. You can have a whole list of contacts that represent potential clients in a niche industry. The Contact-Type field will help identify the relationship of the contact with the client. PowerImport will let you import contacts from another database, and PowerView will let you extract information for just about any subset of contacts to an Excel file for use with Word's mail merge features. These are opportunities that every PowerPM firm should be aware of and carefully evaluate for implementation.

PowerPM Billing review: New tools in PowerPM such as Billing Review, Locate Bills, and Bill Approval make the bill creation and review process faster and easier. Plus, PowerPM now offers more ways than ever to make invoice text creation easy and quick. We continue to find some PowerPM users that do not use PowerPM to create the actual invoices. The benefits of using PowerPM to create bill text are many, not the least of which is the ability to quickly recall the image of any posted bill without having to search through paper files. This session reviews the billing tools mentioned above, as well as methods of creating and standardizing invoice text (standard text files, short-hand expansions, cut and paste from previous bills, customize invoice preference line wording, use of date and amount variables, etc.), the use of bill forms, using the Auto Bill feature, the creation of custom text and bill forms for individual projects, and a review of WIP review and management techniques.

PowerPM reporting: A general review of the PowerPM reporting system, including Master and Deferred reporting, using special client/project lists for reporting, special sorting and selection options, report configuration options and a quick look at the ad-hoc client/project/contact reporting available with PowerView.

TrakTime & TrakTime Administration: It all starts with TrakTime. We'll review TrakTime itself including staff configuration options, methods and shortcuts in entering time and expenses, use of timers, comment shorthand expansion texts and other items built into TrakTime to make timekeeping as easy as possible, yet compliant to firm policies. In 2005 we rewrote TrakTime the Administration program to make it easier to use when adding new staff, or making changes to your TrakTime setup. We also built in new options for reviewing submitted, loaded and missing timesheets. Time permitting, we'll also review the latest work upload program released with PowerPM.

TrakDate: Review of set up, maintenance, staff use and reporting features of the TrakDate task management and due date tracking system. Covers new features released with PowerPM 5.52 including Target Dates and task amounts.

PowerForeCast (Budgeting & Scheduling in PowerPM): PowerPM 5.60 features a major revision of PowerForeCast. Now you can export budgets or schedules to Excel, make changes in the speadsheet and Import those changes back into PowerForeCast right in the Budgets and Schedules application! Further, the Export/Import spreadsheets have the same basic format as the budgets or schedules grid, with columns not only for staff, projects and work codes but also for dates with hours in the various cells in the date columns. In addition, we now offer an Actuals tab and actual data can be exported and used as a basis to create spreadsheets for importing of next years schedules. The whole application is also much faster. The new Staff Calendar includes a weekly view showing full detail of scheduled client/projects and hours by day. We will also discuss the use of PFC for both Staff Goal budgeting and Project budgeting and comparison of staff goals, project budgets or schedules to actual time incurred.
